Position Summary:




The Development System Manager has the responsibility of overseeing and managing a comprehensive fundraising database, utilizing Blackbaud’s Raiser’s Edge software, including Net Community and other data information applications. Serves as a key resource and advisor for other departments within the organization and works very closely and collaboratively with the Communications, Finance and IT Departments . The position plays a crucial role in managing and implementing the database to serve the needs of Phoenix House’s regional operations as well as other departments within the organization. Responsibilities include overall management of the database, ensuring the integrity of the data entered into Raiser’s Edge. This includes direct gift entry, proper coding of gifts and supervision of others in this process.




This individual must be capable of running a broad range of queries and reports as needed by management. He or she must be able to advise others regarding the segmentation of the database for targeted development activities, e.g. annual fund, event mailings. The Development System Manager also has responsibility for staff training on Raiser’s Edge in New York and all regions. Creation of training manuals and protocols will be required so that entries into Raiser’s Edge are handled consistently.




Ensures that the interface with the Communications Department, related to the website, net community, email blasts, blogs, and “tweets” are managed effectively. This individual is expected to stay current with emerging social network strategies. He or she will ensure that the use of names and addresses from the Raiser’s Edge database will be handled appropriately, protecting the privacy or preferences of donors as appropriate.




Key Responsibilities:




Provide database administration to assure that the Raiser’s Edge database supports the transactional and informational needs of the organization.




• Accountable for the overall success of the development fundraising database and all relevant software.




• Use Net community as directed by the Director of Development and in cooperation with Communications Department initiatives




• Works closely with the Digital Media Specialist to coordinate messaging




• Manage and supervise data entry for all gifts so that the processing, tracking, reporting and acknowledgement of gifts are performed in an accurate and timely fashion. Ensures that there is reconciliation with the Finance Department records and ensures that those gifts can be appropriately tracked.




• Runs regular reports tracking thank you letters and receipts




• Provide database expertise appropriate to the needs of the application systems.




• Assure the appropriate level of security and data accuracy and integrity.




• Plan for the growth and expansion of the database. Ensures that names and addresses are kept up-to-date by periodic efforts to “clean” the data.




• Develops a strategy with in the organization others to collect email addresses.




• Monitor and manage the performance of the database to assure efficient operation.




• Assist all users in the specification, design and delivery of queries and reports.




• Oversee the development, implementation, and maintenance of data standards to ensure the highest level of data integrity through audit procedures and regular system checks.




• Troubleshoot problems and work with IT for corrections, as needed.




• Provide on-call support for the development database to all users.




• Oversee the task of researching appropriate technology solutions as needed.




• Develop and enforce accountability measures so that staff understand expectations and are set up for success.




• Build effective working relationships with all database users in support of effective team efforts. Encourage a spirit of participation to enhance user group cohesiveness by emphasizing overall objectives and reinforcing cooperation.




• Keep all end-user staff up-to-date, informed, and confident of data issues and processes.




• Stay current on professional, technical and evolving work related issues; serve as a knowledge resource to provide best advice or best practices to others throughout Phoenix House.




• Helps with departmental administrative functions as required by the Director of Development




Qualifications:




• High School degree required,Bachelor’s degree preferred




• A Minimum of 5 years of expertise with the Raiser’s Edge Fundraising Database required. Knowledge of net community also preferred.




• Three years experience in fundraising setting required
